Supply Chain Due Diligence Response: Smart Factory Data Standardization and Traceability Strategy

As prime contractors demand supplier digitalization and ESG due diligence requirements grow, small suppliers face mounting pressure to standardize their data. This post outlines a three-step traceability strategy—from MES/ERP consistency checks to real-time data sharing—along with related government support programs.

Why Supply Chain Data Standardization Matters Now

A growing number of large prime contractors are requiring their suppliers to provide real-time production data integration and digital traceability records. In major industries such as automotive, electronics, and defense, tier-1 suppliers are already being contractually required to connect with prime contractors' MES systems via API and submit lot-level traceability data — and this requirement is rapidly spreading down to tier-2 and tier-3 suppliers.

At the same time, regulatory pressures are stacking up: the EU Corporate Sustainability Due Diligence Directive (CSDDD), the Carbon Border Adjustment Mechanism (CBAM), and Korea's K-ESG supply chain due diligence guidelines all demand traceable data covering the entire process from raw material sourcing to production and shipment. This burden falls disproportionately on smaller suppliers. Simply keeping quality records is no longer enough — without a standardized coding system and real-time data-sharing infrastructure, doing business at all is becoming difficult.

Problems That Arise Without Data Standardization

Three recurring issues show up repeatedly on the ground.

  • Failed integration with prime contractor systems: When a company's own MES/ERP item codes and process codes differ from the prime contractor's required format, manual conversion is needed every time, and errors lead to delivery delays.
  • Delayed due diligence response: Compiling data manually in Excel for an ESG supply chain due diligence request often takes 2–3 weeks, causing companies to miss the prime contractor's typical 10–15 business day response deadline.
  • Lost business opportunities: Companies without adequate data integration capability are reportedly being rejected during new supplier registration reviews, or seeing reduced order allocations in existing relationships.
  • Small and mid-sized suppliers, in particular, often rely on individual staff members' personal spreadsheets due to a lack of dedicated data management personnel — creating a real risk that traceability history is lost entirely when that staff member leaves.

    A Three-Step Approach to Building Traceability

    Step 1: Audit internal MES/ERP data consistency

    Assess whether production, inbound/outbound, and quality data flow consistently across systems without duplicate entry or gaps. The key is ensuring lot and serial number systems remain unbroken across the entire process.

    Step 2: Map internal codes to prime contractor formats and standards

    Build a mapping table between the data fields required by prime contractors (part codes, GS1 standard codes, carbon emission factors, etc.) and your company's own coding system, enabling automated conversion.

    Step 3: Build a real-time data-sharing framework

    Use API integration or a cloud-based collaboration platform to share data with prime contractors in real time, and maintain data in report formats that can be extracted immediately when a due diligence request arrives.
